Code of Conduct
Nevus Outreach is committed to maintaining a safe, respectful, and inclusive environment for all participants. We reserve the right to enforce the official Conference Code of Conduct at all times. Read our full Code of Conduct policy at nevus.org/policy Section 12.5

Event Photography/Videography
At the Nevus Outreach Conference, we capture photos and videos to document our work and share the conference experience. By attending, you provide implied consent for your image and voice to be used in our official materials, including our website, social media, and promotional content. If you prefer not to be photographed or video-recorded, you can opt out by notifying a staff member at the registration desk upon arrival; you'll receive a visible "Opt-Out" badge. While we make every effort to honor these requests, incidental capture may sometimes occur in large group settings. Cancellation Policy
We understand that unforeseen circumstances can sometimes prevent you from attending the Nevus Outreach Conference. Our cancellation policy is designed to be fair to all participants while allowing us to manage the necessary planning and financial commitments for a high-quality event.

Participant Cancellations

Full Refund (less administrative fee): If you cancel your registration in writing on or before December 31, 2025, you'll receive a full refund, minus a $50 administrative processing fee per registration.

Partial Refund: For cancellations received in writing between January 1 and May 31, 2026, you'll be eligible for a 50% refund.

No Refund: Unfortunately, no refunds will be issued for cancellations made on or after June 1, or for "no-shows."

Registration Transfers: You can transfer your registration to another individual up to 60 days before the event start date without an administrative fee, simply by notifying Nevus Outreach in writing. Transfers after this deadline may incur an administrative fee.

Event Cancellation by Nevus Outreach
In the unlikely event that Nevus Outreach must cancel a conference due to unforeseen circumstances (e.g., natural disaster, insufficient registrations), we will notify registered participants as soon as possible. If we cancel an event, you will receive a full refund of your registration fees. Please note that Nevus Outreach is not responsible for any other costs you may incur, such as travel or accommodation expenses. If you fundraised to attend an event canceled by Nevus Outreach, those funds will be managed on a case-by-case basis.

Requesting a Refund
All cancellation and refund requests must be made in writing via email to conference@nevus.org. Please include your full name, registration phone number, and reason for cancellation. Refunds will be processed within 30 business days and issued via the original method of payment.
Nevus Outreach reserves the right to make exceptions to this policy in extraordinary circumstances, at our sole discretion. If you have any questions about this policy, please contact us at info@nevus.org.

Non-Discrimination
Nevus Outreach is committed to creating an inclusive and welcoming environment for everyone. We do not discriminate on the basis of race, color, religion, sex, sexual orientation, age, national origin, diagnosis, or disability status in our programs and activities, including admission, access, treatment, benefits, and employment. Harassment of any form is not condoned.

Personal Belongings
Nevus Outreach is not responsible for attendees’ personal items at any time during the Conference. Please keep your belongings secure.
Session Content Disclaimer
All Conference sessions are intended for informational and educational purposes only. While some sessions may be led by medical or mental health professionals, most are facilitated by parent and community volunteers.

Speaker Opinions
The views and opinions expressed during sessions, workshops, and panel discussions are solely those of the individual speakers. They do not necessarily reflect the positions of Nevus Outreach or any institutions, employers, or organizations with which the speakers may be affiliated.

Smoking Policy
For the health and comfort of all attendees, especially those with health conditions, please note that the conference venue is smoke-free. Designated smoking areas are located outside the building. We appreciate your cooperation.

Prohibited Conduct & Harassment
Nevus Outreach is dedicated to providing a safe and respectful environment at all our events. Any behavior that disrupts this environment or violates our policies may result in disciplinary action, including removal from the conference, membership probation, or revocation of membership. Such actions do not preclude legal recourse by the hotel or other entities.
Prohibited conduct includes, but is not limited to:

Illegal use of alcohol or drugs

Underage Alcohol Use (Under 21 zero-tolerance)

Sexual harassment

Destruction of property (hotel or private)

Verbal or physical fighting
-
Any form of harassment or abuse of individuals

Sexual Harassment
We maintain a zero-tolerance policy for sexual harassment. Sexual harassment is defined as any unwelcome or unwanted sexual advance, request for sexual favors, or other verbal or physical conduct of a sexual nature that creates discomfort or interferes with conference attendance. All reports of sexual harassment will be taken seriously, investigated promptly, and treated with respect and confidentiality. Individuals found to have sexually harassed another will face disciplinary action, up to and including removal from the conference and membership suspension.

If you experience or witness harassment, please report it immediately to a Nevus Outreach Staff, Board member, or hotel security.

Alcohol Consumption Policies
Underage Alcohol Use (Under 21 zero-tolerance): The legal drinking age in the conference host state is 21 years old.

Ages Under 21: If an individual under 21 is found to be under the influence of alcohol by hotel security, police, or a Nevus Outreach staff member, their parents/legal guardians will be contacted immediately. They may be prohibited from attending future Nevus Outreach Conferences without a parent or legal guardian present until age 21.

​Providing Alcohol to Minors: Nevus Outreach has a zero-tolerance policy for anyone providing or purchasing alcohol for minors, regardless of age. This includes purchasing alcohol at bars, cash bars, or providing it at private hotel room parties. Violators will face severe consequences, including:

Reporting to hotel security and local law enforcement for legal action.

Immediate removal from the current Nevus Outreach Conference.

Possible prohibition from attending the next two Nevus Outreach Conferences.

Future conference attendance and potential membership status will be determined by a committee including Nevus Outreach Executive Officers and other relevant leadership.

General Conduct & Identification

Disruptive Behavior: Any person involved in the destruction or damage of public or private property, disorderly conduct, verbal or physical fighting, harassment, or abuse of individuals at a Nevus Outreach Conference will be subject to disciplinary action by local authorities and/or the Nevus Outreach Executive Committee or Board of Directors.

Age-Restricted Events: For all onsite and offsite events requiring participants to be over 21, registrations will be checked against Nevus Outreach records. You may also be required to provide identification.
